​We have an exciting opportunity for an enthusiastic and proactive person to join our Service department as a Service Administrator. To be successful for this role, you will have organisational skills second to none and be able to effectively communicate with people at all levels. You enjoy working as part of a team, your Microsoft office skills are excellent and you have a real aptitude for learning new systems. You are naturally very proactive, quick at problem solving and conscientious in your working style, always working to the best of your ability. These skills will enable you to perform the role to a high standard and will assist you with your progression within the role.

About the role

Reporting to the Service Manager, this role is responsible for administrating service processes to maximize administrative efficiency in the department. Assists the service team in maintaining accurate and on-time reports and records. Generally involved in the warranty handling process.

  • Checks work orders before submission to Service manager end customers.
  • Maintains service department filing, records and department information.
  • Opens work orders as directed by the Service Manager and maintains control until they are closed and invoiced.
  • Coordinates enrolment and follow up of training attendance as directed.
  • May process warranty and/or product improvement claims including the computation of charges, submission and follow-up.
  • Gets in touch with the customer to collect required data, checks machine status
  • Plans and allocates work for Technicians based on their expertise and skills.
  • Proactively generating business by communicating the latest service campaigns to relevant customers
  • Responsible for taking customer payment for cash sale work upon completion
  • Works towards performance KPI’s and targets to support departmental efficiency
  • Proactively contacting the customer based on machine alerts
  • Runs administration steps of service process, such as invoicing, customer approval and signature
  • Contacts customers to inform about changes in service or to let them know the machine is ready for pick-up
  • Process warranty and/or product improvement claims including the computation of charges, submission and follow up.
  • Provides explanation and answers questions from customers on service delivered after consulting with technician and the workshop manager if necessary
  • After-repair follow-up with the customer to identify open issues and confirm customer satisfaction
  • Any other tasks as/when required.

Qualifications and Experience

  • Previous experience within a busy Service Department in either the Agricultural, commercial vehicle or similar industry – Desirable
  • Previous administration experience
  • Competent in using Microsoft office including Excel
  • Strong organisational skills
  • Ability to work from your own initiative
  • Keen to learn and a good communicator
